My client, a top offshore law firm in George Town is seeking an executive legal secretary to work in corporate/ funds team. This is a temp to perm role. Ability to start quickly is required.


  • Responsible for the preparation of routine correspondence for fillings with the respective government entities and the updating of relevant electronic company/funds filings
  • Preparing of conflict checks and completion of file opening procedures in Elite including compliance information and liaising with client in respect to due diligence requirements
  • Responsible for drafting and amending various documents, including partnership registrations, liquidation documents, gazette notices, SIBL documents and CSX filings
  • Developing & maintaining good relations with key clients, registered offices, CIMA and the Registry of Companies
  • Responsible for entering and maintaining contacts, activity and client information on Interaction and Elite
  • Maintaining clients files on Worksite
  • Preparing and finalising pitch documents and directory submissions
  • Organizing and coordinating business travel trips and the preparation of client profiles
  • Managing of fee earners invoicing process through Elite and Worksite, including liaising with the accounts department to ensure timely and correct client billing
  • Assisting with the following up on invoices in accordance with the firm’s debt collection procedures
  • Responsible for conducting CORIS company searches
  • Acting as first point of contact for all operational process queries and assisting with providing practical/refresher training to other secretaries and fee earners
  • Creating, maintaining and distributing reports as required
  • Assisting other secretaries as and when required, whilst adhering to a structured schedule


  • A minimum of 5 years work experience as a Legal Secretary/Executive Secretary in a law firm, preferably with a corporate or investment funds team
  • Experience in drafting legal or other professional correspondence
  • Excellent written and oral communication skills, with an above average typing speed
  • Demonstrated ability to effectively liaise with 3rd parties including clients
  • Experience in working to tight reporting deadlines and meeting demanding client obligations
  • Superior organisational skills and a proven ability to work effectively in a team as well as on own initiative
  • Advanced knowledge and proficiency with IT business software packages, including all Microsoft applications. Experience in Elite and Interaction would be advantageous
  • Ability to adhere to the highest level of confidentiality at all times
