Portfolio Operations Manager
About our client:
Our client is a progressive private investment company that
manages the portfolio of high net worth investors.
Job Summary
The Portfolio Operations manager will report directly to
the Chief Financial Officer, and will also have a matrix
reporting line to the Chief Investment Officer. The primary
responsibilities of the role are to ensure the completeness
and accuracy of processing of all investment transactions,
to ensure the complete and accurate accounting and valuation
of all such transactions and to ensure that the Chief Financial
Officer and the Chief Investment Officer receive all the
management and decision support information required to
support their activities.
This will include, inter alia, ensuring that all the quantitative
analytics reports are produced on time, liaising with the
third party administrator to ensure that month end valuations
are up to date and available for review, and liaising on
a day-to-day basis with the prime broker and third party
administrator with regard to transactions, positions and
cash management activities. The incumbent will also be responsible
for designing the operating model, and selecting and implementing
software solutions for the automation of the portfolio management
and order routing processes, for maintaining the fund and
fund performance database and all associated electronic
and hard copy filing, and for all financial information
services and pricing services received in the office.
Another key responsibility of the position will be to conduct
due diligence over third party fund managers, and to critically
review and assess financial information received from third
party fund managers and from private equity investment partners.
Responsibilities:
- To direct the activities of the Portfolio Accountant and
his/her team.
- To continuously review, improve and document the investment
operations operating model and the associated internal controls.
- To ensure that daily population and accuracy controls
of all transactions processed through the prime broker and
other executing broker relationships are fully complied
with.
- To ensure the confirmation of all trades executed by
the Chief Investment Officer in a timely basis and ensuring
that all trades are input into the portfolio management
and order routing systems.
- To perform periodic quantitative and analytical analysis
of the performance of the portfolio in accordance with the
approach agreed with the Chief Investment Officer.
- To ensure the swift and accurate update of the Cogendi
database for all investment performance history, changes
to static data and the addition of new relationships.
- To maintain full static data and performance history for
all watch list funds and perform analytics as required by
the Chief Investment Officer.
- To become the expert user for all Bloomberg information
systems and feeds in the office, ensuring that all Bloomberg
services are adequately maintained and subscriptions are
kept up to date.
- To ensure that all derivatives instruments traded in
managed accounts or in the self-directed portfolio are correctly
accounted for and marked to market. You will be required
to assist the Financial Accountant in this respect with
the monthly accounting records maintenance.
- Liaise with the third party suppliers of the Cogendi fund
database to continually improve the operating model, and
to ensure all relevant staff are trained in its operation.
- To monitor updates to ensure full utilization of the web
delivery portals from the third party administrator, and
the online banking and prime brokerage web portals, and
to ensure that they are always up to date and available.
- To assist the Chief Financial Officer with ensuring efficient
and effective cash management of all surplus cash and free
balances within the investment portfolio.
- To ensuring the completeness and accuracy of notification,
election, response and processing of all corporate actions.
This will require liaison with the Chief Investment Officer,
the third party administrator, the prime broker and executing
brokers.
- To prepare the formal monthly performance reports for
the entire portfolio (both estimated and actual), liaising
with the third party administrator, prime brokers and the
Financial Accountant as appropriate to ensure this is produced
accurately and on a timely basis.
- To design and implement a due diligence program governing
the activities of third party fund managers and the financial
information that they provide.
- To ensure the continuing professional development of
the Portfolio Accountant and his/her team by providing both
structured and on the job training.
- To performing any other tasks or duties that may be assigned
by the Chief Financial Officer or Chief Investment Officer
from time-to-time.

- Good command of the English language and good written
and oral communication skills.
- Team spirit and the ability to multi-task, adhere to deadlines
and ability to work under pressure during specific periods
of the month.
